Ceylon Shipping Ltd (company number 16491227, 124 City Road, London EC1V 2NX, United Kingdom) is the data controller for personal data collected through this website and the quote, booking, tracking and portal services it links to.

What we collect

Depending on how you use our services, we collect:

Contact details — name, email address, phone number.
Shipment details — sender and recipient addresses, package weights and dimensions, cargo category.
Payment information — handled by Stripe for card payments; we do not store your card details ourselves. For bank transfer, we hold your proof-of-payment document and our verification decision.
Identity documents — for every shipment, the sender's passport or NIC number and a copy of the document, and the recipient's PP/NIC number, used only to meet Sri Lanka Customs requirements and never for marketing.
Enquiry and support messages — anything you send us through the Contact form or by email.

Why we use it

We use your data to provide quotes, process bookings and payments, arrange collection and delivery, meet customs and compliance obligations, respond to enquiries, and send you updates about your own shipments. We do not use identity documents for marketing, and we do not sell your personal data.

How identity documents are protected

Identity verification is profile-based and reusable — once verified, you are not asked to upload the same document again for a future booking. Full document numbers are masked everywhere except where staff access is explicitly required and authorised, and access to identity documents is logged. Encryption of identity documents at rest is being completed ahead of production; in the meantime documents are held under restricted, logged access only.

Who we share it with

We share shipment and customs-relevant data with the destination partners and subcontractors who handle customs clearance and last-mile delivery in Sri Lanka, and payment data with Stripe for card processing. We do not share your data with third parties for their own marketing purposes.

Retention period still being finalised

A formal data retention and deletion schedule is being finalised ahead of production and will be published here once approved. Until then, data is kept only for as long as reasonably needed for the purpose it was collected for.

Your rights

Under UK GDPR you have the right to access, correct, delete, or request a copy of your personal data, and to object to or restrict certain uses of it. To exercise any of these rights, contact us at office@ceylonshipping.co.uk.

Cookies

This site uses only the cookies required to keep you signed in and to process your quote, booking and payment securely (including a Stripe session where relevant). We do not use marketing or advertising cookies.
